How should rejection emails sound?

Rejections are business correspondence, not penalties. Keep tone firm and specific:

  • State impact plainly ("cannot clear for mobilization") without blame.
  • Route all questions to one compliance contact, not the superintendent or PM.
  • Acknowledge partial fixes when subs improve the file. It encourages cooperation on remaining items.
  • Log every rejection on the vendor record with the same text sent externally.
